Upgrading Prophet 21 from On-Premise to Epicor Cloud Hosted: Key Steps & Questions to Ask

For many distributors, the decision to move from an on-premise ERP to a cloud-hosted solution like Epicor Prophet 21 P21 Cloud is a major milestone in their digital transformation journey. Cloud hosting offers scalability, improved security, lower IT overhead, and easier access to innovation. But before you make the switch, there are critical steps and questions to consider.

At Scaled Solutions Group, we guide clients through this process with a structured, risk-mitigated approach. Below are the high-level steps and the key questions you should be asking before upgrading to Prophet 21 Cloud.

Step 1: Confirm Compatibility & Readiness

  • Are you on the latest version of Prophet 21 (2020.2 or newer)?
Cloud migration requires compatibility with the WebUI. If you’re on older versions, plan for an upgrade and user training.
  • Are you using the Prophet 21 WebUI today?
If not, training and change management will be critical for adoption.
  • Are your current devices ready?
Thin clients are not recommended—full workstations provide the best performance in the cloud.

Step 2: Evaluate Customizations & Integrations

  • Do you have Epicor Forms Integration or customized forms?
Adobe forms are not supported. Crystal forms and logos may need adjustments to function in the WebUI.
  • Do you have custom business rules, APIs, or third-party applications?
Many will need to be tested or reconfigured. For example, direct SQL jobs aren’t supported in the cloud, and integrations must rely on APIs or supported imports.
  • Do you use custom reports or financial statement tools?
Custom reports often require rebuilding, and older financial statement setups must be converted to Financial Line Express.

Step 3: Review Add-Ons & Connected Systems

  • Are you using WWMS, Quick Ship, or shipping integrations (UPS, WorldShip, ClipperShip)?
Legacy shipping and warehouse tools are not supported in the cloud. Quick Ship and the WebUI WWMS must be deployed.
  • Do you use DocMan, Altec DocLink, or other document tools?
These are not cloud-compatible. Epicor recommends upgrading to DocStar for document management.
  • Do you use Data Analytics or BI tools (EBA, ABA, XL Connect)?
Some legacy tools are unsupported. Epicor Data Analytics (EDA) is the recommended path forward.

Step 4: Security & Access Planning

  • How do your teams currently query or access data?
In the cloud, direct write-access to SQL is not available. Instead, leverage ODBC read-only connections or APIs for reporting and integrations.
  • Do you need credit card processing, EDI, or eCommerce integrations?
These may require reconfiguration or additional consulting hours during migration.

Step 5: Create Your Migration Roadmap

Once readiness is confirmed, your Epicor Customer Account Manager (CAM) and Professional Services team will develop a Statement of Work (SOW). This plan typically includes:

  • User training on WebUI and new tools.
  • Rebuilding/reconfiguring forms, reports, and integrations.
  • Testing all critical workflows in the cloud environment.
  • Establishing cutover, data migration, and hyper-care support.

Key Takeaway

Migrating from on-premise to Epicor Prophet 21 Cloud is more than a lift-and-shift—it’s an opportunity to modernize your business processes, streamline integrations, and prepare your team for the next decade of growth.
